JMP Now Pro-Rated at 50% - October 2014

Adobe Creative Cloud Presentation - October 2014
Software Central invites you to one of two Adobe Creative Cloud presentations at UCLA on Wednesday, October 15, 2014, 10am to noon or 1pm to 3pm, in the OARC Visualization Portal, 5628 Math & Science Building.

Each presentation will cover the same material. Adobe Creative Cloud licenses are now available for purchase and use at UCLA. Please visit the Adobe Creative Cloud page for information on how to order.

Adobe Creative Cloud Agreement - September 2014
Software Central is pleased to be able to share that a new UCLA Adobe Creative Cloud agreement has been established and is now available for use. This agreement enables UCLA faculty and staff to purchase and use Adobe Creative Cloud products under terms aligned with UC policy and known use case scenarios.

Please review the “UCLA Allowable Data Use – Adobe Creative Cloud, Named User” and “How to Order Adobe Creative Cloud Licenses at UCLA” guides to learn about and access the products available under this agreement.

A presentation regarding the new UCLA Adobe Creative Cloud agreement is being planned. When the details are finalized they will be shared via separate email and posted on the Software Central website.


Mathematic v10.0 is now available - September 2014
Software Central now has Mathematica v10.0 available for download from Software Central Download Site. All current Mathematica license holders are entitled to upgrade to Mathematica v10.0 at no additional cost.

***PLEASE NOTE***
Mathematica v10's new cloud storage function provides no contractual or infrastructural safeguards regarding data security and integrity. Therefore:
Use of the Mathematica cloud to store or process any sensitive data is PROHIBITED. Sensitive data, includes but is not limited to:

Use of the Mathematica cloud to store or process non-sensitive data is at your own risk. For example, if your only copy of a document stored on the Mathematica cloud were subsequently destroyed or corrupted due to Mathematica's action or inaction, Mathematica is not required or able to correct this.

UCLA faculty and staff use of the Mathematica cloud must comply with any other applicable University policies, notably policies relating to the protection of University data and the UC Electronic Communications Policy.

Licensees currently running Mathematica v9 or below may upgrade to v10. Please contact Software Central for download directions for Mathematica v10.


First 14/15 MCCA Quarterly Purchase Opportunity due September 10, 2014 - August 2014
UC's MCCA agreement includes the ability to make additional mid-term purchases with a minimum order volume. Orders for the first MCCA quarterly mid-term purchase are due by Wednesday, September 10, 2014. If your department needs to acquire new/or additional licenses under the MCCA at this time, please complete an ONLINE ORDER no later than Wednesday, September 10, 2014 by visiting the UCLA Software Central Store and signing in with your UCLA ID to place the order. Fulfillment by SHI will take place on October 1, 2014.

**Please note that online orders require both the Primary Contact and the Administrator identified on the order to take follow-up actions in order to finalize the order. Please plan accordingly and place the initial order at least one week prior to the 9/10/14 deadline. Please contact Software Central with any questions on this process.

MCCA product catalogs (grouped by product category) and ordering processes for the 2014-15 MCCA are at the UCLA Software Central Store. Please note prices shown on all MCCA licenses are pro-rated reflecting the remainder of the term (10/01/14 – 06/30/15).

Departments ordering additional desktop products for the full department must order in the quantity of the desktop licenses previously purchased. Server, Desktop Single, and Online Services licenses may be purchased in any quantity. If you have questions regarding your previous 14-15 order, please contact Software Central.

UPDATE REGARDING MICROSOFT AZURE ONLINE SERVICES: Additional services added to the Microsoft Azure Online Services BAA. Please see the article below for details.

The deadline to complete orders for the first add-on purchase of MCCA licenses is Wednesday, September 10, 2014. An additional buy in opportunity is scheduled just prior to the end of 2014. For additional information on the MCCA please visit our Microsoft Consolidated Campus Agreement pages.


Additional Services Added to Microsoft Azure Online Services BAA - August 2014
The existing Business Associate Agreement (BAA) in place between UC and Microsoft, for use with individuals' health information has recently been expanded to include a larger subset of available Azure Online Services. While not all Azure services are covered by the BAA, those that are now covered include: Active Directory, BizTalk Services, Cloud Services (Web and Worker Roles), Media Services, Mobile Services, Multi-Factor Authentication, Rights Management Service, Service Bus, SQL Database, Storage (Blobs, Tables, Queues), Traffic Manager, Virtual Machines (including with SQL Server), Virtual Network and Websites. PLEASE REMEMBER departments must contact IT Services Client Support at clientsupport@it.ucla.edu before using any of the above listed Azure services with individuals' health information. Any services not listed above are not eligible to be used with individuals' health informaiton. Potential SurveyMonkey Enterprise Agreement - July 2014
Software Central is investigating the possibility of establishing a UCLA-wide agreement for SurveyMonkey's new “Enterprise” offering. If you or your department has an interest in SurveyMonkey, please review and respond to the information below no later than ***9/15/14***.

SurveyMonkey Enterprise includes:

  • Ability to import all current data from an existing SurveyMonkey account to the Enterprise account.
  • Administrator functionality to add, reassign and manage named users via Software Central.
  • Department maintains ownership of survey and response content, regardless of personnel changes.
  • Named User Accounts remain segregated.
  • 24/7 email support, 12-5 phone support.
  • Data is kept secure with SSL encryption.
  • Fully accessible and 508 compliant surveys.

 

SurveyMonkey Enterprise use will be governed by custom negotiated terms and conditions that align with UC policy. SurveyMonkey Gold use requires the user to accept SurveyMonkey's standard terms and conditions which have not been customized to comply with UC policy.

If there is sufficient demand to proceed, the goal is to have an agreement in place by the Fall 2014 quarter.

If you are interested in participating in this agreement, then please contact Software Central no later than ***9/15/14***.The form must have complete departmental information, contact information for two contacts plus an additional person as the administrator,the complete FAU, and be signed by both the Administrator and Primary contact. You may fax the form to x64742.

The person listed as the Primary Contact on the form will be your department's SurveyMonkey Subscription Administrator. Please provide additional names and email addresses for any additional Enterprise named user seats over one. User names must be a real person and not a department or sub-department name.

PLEASE NOTE:Our receipt of your recharge form is a commitment to purchase. If it is determined that there is insufficient demand to proceed with an agreement, then a notice will be sent and you will not be charged.


IMPORTANT MCCA & AZURE Online Services Information Session 3/21/14 - March 2014
Software Central will host an important MCCA & AZURE Online Services information session on March 21, 2014 in the Portal (5628 Math Science Building). This session will not be recorded, so we encourage all interested to attend to have your questions answered.

There will be a some changes with the 13/14 MCCA, not the least of which is the addition of the ability to acquire Microsoft Azure Services via the MCCA. All IT, Administrative, and Financial personnel from departments interested in renewing or joining the MCCA or finding out about Microsoft Azure Online Services are encouraged to attend.

Adobe Acrobat ETLA (formerly known as the TSL) Agreement Join Now or Renew Participation- March 2014
Software Central is currently renewing its participation in the UC system-wide agreement for Adobe Acrobat. Formerly known as the Term Site License (TSL) agreement, now known as the ETLA (Education Term License Agreement). There is only one opportunity per year to join this agreement, and for the 5/17/2014 to 5/16/2015 agreement term, that time is now through 3/17/2014. The ETLA agreement terms and conditions include:

  • Annual licenses.
  • Updates and upgrades available at no additional cost.
  • Pricing based upon number of faculty and administrative staff FTE instead of quantity of computers installed.
  • Simplified compliance and administration – No need to track installations per computer. Install on new computers mid-year at no additional cost.
  • Lab computer installations included at no additional cost.
  • Work at home rights for eligible faculty and staff to use on one additional computer for work-related purposes. Please have employees fill out the Adobe Work at Home form.
  • Web/forum support only.

Under the Adobe ETLA, licensing is not based upon licenses per machine, it is based on a FTE (Full Time Equivalent) headcount of the department. The Total FTE Quantity is calculated as follows:

Full time faculty + (part-time faculty/3) + Full time administrative staff + (part-time administrative staff/2), equals FTE count.

Exclude from the head counts any employees who are not “knowledge workers.” This exclusion includes anyone who does not make regular or sustained use of a computer while on the job. Examples of categories to be excluded are grounds keepers, building maintenance workers, and food service workers. Employees who use a computer only to clock in and out, or only for other brief work-related tasks, are not considered to be knowledge workers under the Adobe TSL.

When deciding whether or not to participate in the ETLA, a department should take into account how many computers they need to install Acrobat on, then compare the ETLA as an option under two scenarios:

1) Comparing ETLA to the cost to renew maintenance on existing perpetual Acrobat licenses under the CLP agreement.

Maintenance under the CLP can only be renewed in two-year increments.

Under this scenario, the ETLA has both a lower up front cost, and a lower cost per year.

2) Comparing ETLA to the cost to acquire new perpetual Acrobat licenses under the CLP agreement

The cost to acquire maintenance coverage on new Acrobat licenses would be the same as noted above. Under this scenario, not only would the ETLA cost less than the maintenance, the initial cost of the license purchase would also be avoided.

If your department would like to continue their participation in this agreement, then please respond to the renewal email that was sent on 3/3/2014. If your department is new to the agreement, then contact Software Central no later than *** March 17, 2014 ***. The form must have complete departmental information, contact information for two contacts plus an additional person as the Administrator, the complete FAU, and be signed by both the Administrator and Primary Contact. JMP Renew or Purchase New Licenses for the 14-15 Term - February 2014
UC's JMP agreement renewal is under way now. If you are a current JMP license holder, please reply to the email poll by February 11, 2014 to tell Software Central if your department will be renewing your current JMP licenses. Blackboard Collaborate Presentation - January 2014
Please join Software Central to learn about the new features and functionalities of the products available via the UCLA-wide Blackboard Collaborate agreement. The session will be held Tuesday, January 28, 2014, 10 a.m. - 12 noon in 5628 Math Sciences.

Blackboard Collaborate is a virtual classroom/virtual meeting tool. In addition to its ability to facilitate and enhance instruction and collaboration, Blackboard Collaborate can also help reduce faculty/staff travel to meetings which can result in benefits to both a department's budget (reduced travel spend) and the environment (reduced carbon emissions). Blackboard Collaborate can also be used to take control of a workstation remotely for purposes of troubleshooting problems.
